Administrative Assistant

Position Summary

Under the guidance of the Director of Facility Operations, the Administrative Assistant manages various day-to-day functions.   Performs complex and diverse administrative duties in support of real estate, asset and property management.  This position will also provide administrative support ot departments under the Director, such as Facilities, Security Culinary and RCHD.

Qualifications & Requirements
  • Bachelor's degree in business or real estate/property management field preferred.
  • Minimum of five years of progressively responsible administrative experience or a minimum of three years of progressively responsible administrative experience in finance or real estate/property management required.
  • Demonstrated intermediate-advanced skill in Microsoft Office Suite, Adobe Acrobat and Photoshop.
  • Demonstrated ability to use or learn with accuracy new programs.
  • Experience in a not-for-profit environment and experience supporting senior leadership preferred.
  • Demonstrated effective communication skills both verbally and written.
  • Effective analytical and problem-solving skills with attention to detail.
Functions & Responsibilities
  • Perform advanced, diversified and confidential administrative support
  • General duties include coordinating and managing meeting needs, annex office leadership, maintaining office supplies, filing, answering phones and responding to email
  • Assist teams with administration of electronic document storage related to accounts payable, grant activity general accounting and clerical functions
  • Maintain daily expenses, prepare credit card reconciliations and departmental timesheets for payroll
  • Oversee facilities administration for space management, reporting, contractor administration and correspondence
  • Support real estate activities including: sales, acquisitions, insurance, research, owner lists, photos and mapping
  • Type, edit, file and retrieve meeting minutes, agendas, expense reconciliation, grant-based or other reports.
  • Contribute to team efforts and complete special projects as directed.
