Position Summary

Special Events Coordinator is responsible for the successful management and implementation of organizational events held on the Gary Comer Youth Center campus. As a part of the leadership team, the Special Events Coordinator ensures that all events on the campus are beneficial and engaging for our youth and their families. In all cases, the coordinator is responsible for the successful execution of all aspects of our events. Additionally, this role calls for a professional prepared to manage space reservations and support the logistics along with the operations of events for our stakeholders. These stakeholders can include groups such as funders, partnering organizations or municipal agencies requesting to use Youth Center space. The Special Events Coordinator is also responsible for coordinating tours of the Center in an effort to promote and garner support for the organization.

Qualifications & Requirements
  • Ability to effectively manage multiple projects independently.
  • Ability to successfully lead teams or work groups with planning and implementation of events and special activities.
  • Strong written and oral communication skills, as well as ability to present information effectively in one-on-one, small group and large group situations.
  • Must demonstrate cultural competency, dedication to working with youth, families and community members in our care.
  • Bachelor’s degree preferred.
  • Certification in event planning preferred.
  • At least three years of professional experience with event coordination.
  • Proficient with the latest versions of Microsoft Office. Also a high comfort level and demonstrated track record with using software as well as social media outlets for event/program promotion.
  • Experience with writing and presenting evaluation reports and providing analysis on event related data.
Functions & Responsibilities
  • Design, coordinate and execute details for Gary Comer Youth Center organization-wide events such as large scale community celebrations, cookouts, field days, conferences or career days. Events can range from 25-500 people.
  • Ensure the success of internal events by providing logistical and operational support for corresponding department managers. This includes staff trainings and organizational meetings under the direction of Center Director. Additionally, support the development department with fundraising activities on-site, and occasionally off-site.
  • Support the successful implementation of functions for our Campus partners and external groups hosted at the Center including management of space reservations and approval of event plans.
  • Serve as the lead for promoting organizational events, including the maintenance of the events calendar and assists with the external promotion of department/program level events.
  • Arrange food and beverage, room layouts, order supplies and audiovisual equipment, order event signs, and ensure appropriate décor meet the quality expectations of the youth center.
  • Responsible for event related fiscal management activities, such as budgeting, purchasing and invoicing. Coordinate and monitor event timelines to ensure deadlines are met.
  • Supports the mission of Gary Comer Youth Center.
  • Works collaboratively in a team setting serving the needs of youth.
  • Is committed to the safety and development of all Gary Comer Youth Center members.
  • Takes on other duties as needed.
  • Serves as a role model for youth and community.
  • Abides by the employee handbook and established Gary Comer Youth Center policies and procedures.
  • Completes Special projects as assigned by the Center Director or Executive Director.

  • Work schedule to accommodate the times and days of scheduled events, including some Saturdays and evenings.

  • Ability to do light lifting up to 25 lbs.
  • Ability to walk and stand during the course of an event or activity.
